on Concluding a Service Agreement for Participation in the International Event
CDIO Asian Regional Meeting 2026 (CDIO ARM 2026)
1. General Provisions
1.1. This document constitutes an official public offer by D. Serikbayev East Kazakhstan Technical University (hereinafter referred to as the Organizer) to conclude a service agreement with any legally capable individual or legal entity (hereinafter referred to as the Participant) under the terms set forth herein.
1.2. In accordance with the civil legislation of the Republic of Kazakhstan, payment for services and/or registration on the event website constitutes full and unconditional acceptance (acceptance) of this public offer.
1.3. The agreement shall be deemed concluded from the moment the Participant accepts this offer.
2. Subject of the Offer
2.1. The Organizer undertakes to provide the Participant with services related to participation in the CDIO Asian Regional Meeting 2026 (CDIO ARM 2026) to be held on September 23–26, 2026, in Ust-Kamenogorsk, Republic of Kazakhstan, and the Participant undertakes to accept and, where applicable, pay for such services in accordance with this offer.
2.2. The scope of services may include:
- registration of the Participant for the event;
- access to on-site and/or online sessions;
- participation in the scientific, educational, and business program;
- provision of informational and handout materials;
- issuance of a participant certificate (electronic and/or printed);
- other services provided under the event program.
3. Registration and Participation Procedure
3.1. Registration is carried out by completing the registration form on the official website of CDIO ARM 2026.
3.2. The Participant undertakes to provide accurate, current, and complete information during registration.
3.3. The Organizer reserves the right to refuse participation or cancel registration in the event of inaccurate or false information.
4. Service Fees and Payment Procedure
4.1. The participation fee is determined in accordance with the registration fees published on the official event website.
4.2. Payment shall be made in a cashless form via the payment systems indicated on the website.
4.3. Payment Currency
Payment shall be made in Kazakhstani tenge (KZT). For international clients, the amount may be indicated in US dollars (USD) or euros (EUR) as a reference, while the actual charge will be made in tenge based on the exchange rate of the issuing bank on the day of the transaction.
5. Refund Policy
5.1. The registration fee will be refunded within 30 calendar days after the participant’s written request and only under the following conditions:
- withdrawal from participation by August 23, 2026 — full refund of the registration fee;
- withdrawal from participation from August 24 to September 7, 2026 — refund of 50% of the registration fee;
- cancellation of the event due to reasons beyond the Organizer’s control (force majeure);
- other grounds provided by applicable law.
5.2. In case the event is cancelled due to reasons beyond the Organizer’s control, the procedure for refunding the registration fee will be determined separately.
6. Rights and Obligations of the Parties
6.1. The Organizer has the right to:
- make changes to the program, format, and schedule of the event;
- engage third parties to provide services;
- to conduct photo, video, and audio recording of the event, with the participant giving consent for the use of their images, recordings, and materials for the Organizer’s promotional, informational, and educational purposes.
6.2. The Organizer undertakes to:
- provide services of proper quality;
- organize the event in accordance with the announced program;
- comply with applicable personal data protection legislation.
6.3. The Participant undertakes to:
- comply with the rules of participation and standards of professional and academic ethics;
- refrain from violating the rights of other participants and the Organizer;
- use the received materials solely for personal and/or academic purposes.
7. Intellectual Property
7.1. All materials of the event are the intellectual property of their respective rights holders.
7.2. Use of such materials without the written consent of the rights holder is not permitted, except as provided by law.
8. Personal Data
8.1. The Participant consents to the processing of their personal data for the purposes of organizing and conducting CDIO ARM 2026.
8.2. Personal data processing is carried out in accordance with the Privacy Policy published on the official event website.
9. Liability of the Parties
9.1. The Parties shall be liable for non-performance or improper performance of obligations in accordance with the legislation of the Republic of Kazakhstan.
9.2. The Organizer shall not be liable for the Participant’s inability to attend the event due to reasons beyond the Organizer’s control.
10. Force Majeure
10.1. The Parties shall be released from liability for non-performance of obligations due to force majeure circumstances.
11. Final Provisions
11.1. This public offer enters into force upon its publication on the CDIO ARM 2026 website and remains valid until the completion of the event.
11.2. The Organizer reserves the right to amend this offer without prior notice to Participants.
11.3. Any disputes shall be resolved in accordance with the legislation of the Republic of Kazakhstan.
11.4. Applicable Language
In case of discrepancies or conflicts between different language versions of this offer, the English version shall prevail.
